Give links descriptive text. Microsoft provides accessibility-checking features, but automated results require human review.

The W3C accessible-presentation guidance adds delivery practices: describe visuals aloud, use clear language, make materials available, and account for the audience’s needs. A technically tagged file can still be difficult to understand.

PowerPoint, HTML, or PDF

Choose PowerPoint when colleagues need conventional object-level editing, established templates, or familiar presenter tools. Choose HTML when responsive browser delivery, code examples, web-native interaction, or source control matters and the team can support it. Choose PDF when fixed review, printing, or simple offline access is the priority.

Hybrid workflows are normal. A team may author in PowerPoint and distribute PDF, or author a web deck and provide PDF for archival. Test export fidelity rather than assuming every feature survives conversion.

A reliable workflow

Start with audience and decision, outline claim titles, then build a small set of reusable layouts. Keep evidence sources outside the slide file as well as in source notes. Compress media, remove unused masters, and check for hidden comments or sensitive metadata before distribution.

Use versioned filenames or approved cloud version history. Test the exact display machine, fonts, media, clicker, notes view, and backup. Open the shared link with the intended recipient permissions. Export a fallback and ensure it still communicates the core argument.
